Try Templates Manager for SharePoint

Templates Manager has two user roles:
  • Publishers are administrators who upload, manage and publish the Office templates with the Templates Manager Publisher features.
  • Users are all who search templates and create documents with the help of the Template Manager User features.
Templates Manager Publisher and Templates Manager User are both available as sandboxed solutions and included in the WSP file you can download below.

Templates Manager User is also available as a SharePoint add-in. You must choose the add-in if Templates Manager User  should be used in libraries with the new experience interface or on Office 365 Groups sites. Even if you want to use Templates Manager User Add-in, you should install the WSP file first.

A. Install Templates Manager in a site collection

  1. Download the file TemplatesManagerSP.zip to your computer and extract it to get the WSP file.
  2. On the root site of the site collection, open the Site Settings and select 'Solutions' under the Web Designer Galleries heading.
  3. Upload the file TemplatesManagerSP.wsp.
  4. Activate the WSP file. It is now available for all sites in the site collection.

B. Activate Templates Manager Publisher for a site

  1. Open the Site settings and click on 'Manage site features' under Site Actions.
  2. Find Templates Manager Publisher in the list of site features and click on the 'Activate' button.
A new library, TMTemplates, will now be created on the site. This library can only use the classic experience library.

If you want to distribute different templates to different sites you can activate Templates Manager Publisher on several sites. If all users should have access to all templates, Templates Manager Publisher should only be activated for one site.

On sites where Templates Manager Publisher has been activated, you will find a new "Templates Manager" link in the Site settings.

The first time you click on the Site settings link, a Templates Manager link will be created in the Quick Launch and a "Get Started" page will open. Here you can either load example data or directly enter your own template categories in the settings and start uploading files to the TMTemplates library.

C. Activate or install Templates Manager User on a site

Templates Manager User must be activated or installed on each site where templates should be used in the document libraries.

There are two ways to add the User features to sites where templates should be used in document libraries but not managed:

Templates Manager User Add-in

When you install Templates Manager User Add-in on a site, the User features will be available in all document libraries in that site, no matter which interface they have.

  1. Download Templates Manager User Add-in below and extract it.
  2. Upload the APP file to an App catalog. Now the add-in is available for all sites.
  3. Add Templates Manager User to the sites via Site contents >New >App >‘From Your Organization’.
When Templates Manager User has been added to a site, the TMTemplates library must be defined. This templates library will be used by all libraries on this site.

  1. Open a library and click on 'Select Template' in the command bar or under the LIBRARY tab.
  2. Enter the path to the templates library that should be used.

Templates Manager User WSP activation

If the organization is using SharePoint 2010, which does not support add-ins, or if you don't want to use the add-in for some other reason, the User features are also included in the WSP file you downloaded for installation. They can be activated in the same way as the Publisher features.

This activation only works with the classic experience interface and the templates are displayed when a user clicks on the 'New' button.
  1. Activate Templates Manager User under Site settings >'Manage site features'.
  2. Click on 'New' in one of the site's document libraries
  3. Select or enter the path to the templates library that should be used in this site. This only has to be done once.

Permissions

Standard SharePoint permissions are used for Templates Manager.
  • The person who uploads and activates Templates Manager for the site collection needs to be Administrator of the site collection.

  • The person who activates Templates Manager Publisher or Templates Manager User on a site, needs to be site owner or site designer.

  • The Templates Manager publisher must have Full control over the site where Templates Manager Publisher is activated.

  • Templates Manager users must have at least Contribute permission over the Templates Manager document library, TMTemplates. They must also have Read permission on the site where the Publisher feature is activated. The same permissions are needed whether the user works in the browser or in the PC, with Templates Manager Client.
