Visio Web Access and Visio Process Repository

In the demo below Peter shows how to connect a document library with Visio files to the Visio Web Access web part.

Peter also explains how to create a Visio Process Repository site collection. The default document library in this site collection template is adapted to sharing of Visio files.

The default Visio Process Repository library has check-in/check-out functionality and versioning, and there are columns that display validation status and cross-functional flowchart headings. The library also has various useful templates for flowcharts and diagrams.

Connect a Visio file library to Visio Web Access

  1. Visio iconUpload or save the Visio files that you want to display in SharePoint to a new document library.
  2. Click on the settings gear and select 'Add a page'.
  3. Give the page a name and click on Create. The new page opens in Edit mode.
  4. Click on the Text Layout button under the FORMAT TEXT tab and select the two columns option.
  5. Place the mouse cursor in the column where you want the Visio files to be displayed and click on the Web Part button under the INSERT tab.
  6. Select the Visio files document library that you just created and click on Add.
  7. Place the cursor in the column where you want to add the Visio Web Access web part.
  8. Click on the Web Part button under the INSERT tab.
  9. Click on the Business Data category.
  10. Select the Visio Web Access part and click on the Add button.
  11. Click on the arrow in the top right corner of the Visio Web Access web part and select Edit Web Part.
  12. Click on the arrow again and select Connections >Send Row of Data To >Visio Web Access.
  13. In the pop-up dialog, select 'Get Web Drawing URL ...'.
  14. Click on Configure.
  15. Connect the Document URL field in the Provider to the Web Drawing URL field in the Consumer.
  16. Click on Finish and then Apply and save the page.

Now you can click on the icon at a drawing in the Visio drawing library web part, and that drawing will be shown in the Visio Web Access web part.

Create a Visio Process Repository site collection

  1. Go to the SharePoint Admin Center and create a new site collection.
  2. Give the site collection a name and select the Visio Process Repository site collection under the Enterprise tab.
  3. Make other preferred settings and click OK.
